Explanation of Event levels

Local events are usually low key and in the 'localised' area, ideal for newcomers to try the sport and Training events are non competitive and used for training and coaching, aimed at members of the club, but they can attract people from neighbouring clubs, and are often ideal for newcomers to try the sport. Regional events attract participants from around the local Region, National events are high quality competitions that will attract people from far away, Major events are Major Events such as a British Championships.

South Woodham Ferrers Organiser’s Report

The 5th Event in the HAVOC/SOS 2023/24 Winter Series was held on a chilly night in South Woodham Ferrers. It was a ‘Christmassy’ themed event, with a Start & Finish at the Bandstand, which was decked out in Christmas lights. The event was a Score, with 24 controls & a maximum score of 480 on the Long Course (in 60 minutes) & 16 Controls & a maximum score of 240 on the Short Course (in 45 minutes), with a 10 point penalty for every 2 minutes late.

We had a good turnout, with 10 people on the Short Course & 23 on the Long. There were Christmas Sweets at 3 of the Controls – number’s 3, 5 & 14, although no-one on the Short Course actually visited control 3! On the Short no-one went to controls 11 or 13 either, and controls 14, 16 & 17 were the most popular – visited by everyone.

On the Long Course all of the controls were visited at least once, with Control 2 being the least popular, and control 16 being visited the most.

The winner on the Long Course was Kevin Gard, very closely followed by Chloe Fowler. They both got 20 controls, but Kevin was slightly quicker, although Chloe was more efficient, running 1km less than Kevin! Paul Beckett & Jenny Chandler actually went to more controls – 21 – but they weren’t of as high a value with regards to the scoring (and Jenny was also 3 seconds late back!).

On the Short Course Mel & Richard Sirett came out on top with 11 controls visited – even though they had a time penalty for a late return. Dave Game came second, and he was the only competitor on the Short course to not have a time penalty.

With regard to the results adjusted for the handicap rules, Dave Game was the winner on the Short Course & Paul Beckett on the Long Course.

The courses are now available for an anytime run, with the usual penalties applying (7 minutes), which will then be converted to a time penalty of points as appropriate.

Overview

The event will form part of HAVOC/SOS Mid-Week Winter O’ League. This will be a score event as set out below. Points will be awarded based on the number of controls visited within a set time period adjusted using an age/gender handicap system.
'Anytime' catch-up for some events available for 2 weeks after the event, subject to an Anytime time penalty on MapRun.
Bonus points for running on the night compared to Anytime.
You are welcome to run together as a group, but in order to be fair we ask that you keep together, as when running as a group the least advantageous handicap is applied.
100 points will be allocated to the course organiser/planner for each event planned.

Directions / Parking

The parking will be in the Asda car par, which is adjacent to the Town Crier, CM3 5TB. This is free parking to a maximum of 4 hours.

The course is on roads, pavements, foot paths and parkland. (Note – not every path is shown on the parkland.) The printed map has been updated to show more detail that is available on the electronic version, (especially footpaths). Note that the ‘salmon’ coloured areas within the town centre are all ‘runnable’.

You may need a map bag if it is wet.

Course Information

READ CAREFULLY

This will be a Score event (using MapRun):- there will be a Long Course & a Short Course, the goal is to visit as many controls in the time available, and not be late back! The goal is also to have the highest score – so you need to consider the scoring value of the controls you visit.

For the Long Course you will have 60 minutes to visit as many controls as possible (maximum of 24), and for the Short Course you will have 45 minutes to visit as many controls as possible (maximum of 16.)

Be very careful not to pass the Finish until you are ready to finish – as otherwise MapRun will assume you want to finish (the courses have been designed such that you should not need to pass the finish).

The event will be run using Maprun. Information about Maprun is available at www.stragglers.info/info/virtual-orienteering-courses

Please download the Maprun software in advance, you are advised to use Version 7. You will be given an access code at the event.

The maps are available in the folder UK/Essex/South Woodham Dec23 – select the course which includes the text ‘Long’ or ‘Short’, dependant on which course you are running/walking.

Controls are all fire hydrant signs (note - 1 on the short course is homemade and 3 on the long course are homemade).

The courses can still be completed conventionally (ie pen & paper!), but you will need to record the lower number on the hydrant signs. If you wish to do this, please bring a pencil or pen.

Scoring

The Short Course will have 16 Controls, eight will be worth 10 points (controls 1-8) and eight will be worth 20 points (controls 11-18). There will be a penalty of 10 points for every two minutes you are late back to the finish. The maximum possible score is 240 points.

The Long Course will have 24 Controls, eight will be worth 10 points (controls 1-9), eight will be worth 20 points (controls 11-18) and eight will be worth 30 points (controls 21-28). There will be a penalty of 10 points for every two minutes you are late back to the finish. The maximum possible score is 480.

(Note – Maprun will deduct 10 points per minute late back, but we are being more generous and will amend this to 10 points per TWO minutes late back, on the actual results issued).

We know that sometimes MapRun doesn’t accurately ‘ping’ when you are at a control – if you believe you visited a control and this is not reflected in your score, please contact Jackie who will verify your result.

Each incorrect control (if writing down the hydrant numbers) will not be included as a valid visit.

Registration and Start times

This will be a ‘mass start’ event. Everyone will start at 6.45pm. (Late comers will be accommodated, please come to the Bandstand in the town centre when you are ready (go through the arched alley at the right hand end of the Asda, near the store entrance).

Please arrive ready to run at the Town Crier by 6.40pm. We will assemble in the area behind the pub, where you will be issued with your map. You will have two minutes to peruse the map and decide on your initial route choice. We will then proceed to the start area, and everyone will start.

Competitors must report to the finish by 8.30pm.

We understand that the pub might be busy (with a quiz & football) – so it may be advisable to book a table if you intend staying.

Safety Notes

Participation is at your own risk. Under 16’s must be accompanied by an adult. Bring clothing and footwear appropriate for the weather conditions, especially a torch!!

As with any street orienteering this requires participants to cross roads and you are asked to take due care and attention at all times. High visibility clothing is strongly recommended. There may be dog walkers, cyclists or residents on pavements and footpaths – be aware and give them priority.
